All along, we have been telling you how RPA is the need of the hour, and the various processes and trivia involved in the project framework delivery. It is no surprise that the actual development and deployment process in RPA forms an extremely integral part of the entire project; and any errors in these processes can result in the creation of faulty bots. However, are processes directly handed over to the developers in order for them to bestow life on the process robots? Just as a home needs an architect to design its various chambers, automation also requires one to carefully construct a systematic framework to be implemented in the project. Let’s welcome the architects of automation, solution architects!
We’re back with a blog, and today, it’s time to dedicate a few minutes and paragraphs to the persons who form the pillars of automation.

While planning is a crucial step, one must ensure that the plan addresses all important and intricate phases and aspects of the venture, so that the implementation can be smooth and hassle-free. It is the responsibility of a Business Analyst to study the various process of a business, and then decide which of their processes may be automated. It is here that the solution architect steps in. The role of a solution architect begins when this automation idea needs to be put into practice, but requires a systematic approach for this implementation to be carried out.

The solution architect devices effective process maps and comes up with relevant solutions that can boost the automation process to a great extent, and act as a framework for the RPA developers to easily step into their roles. The solution architect essentially designs two types of process maps or designs – PDD or Process Design Document; and TDD, or Technical Design Document. While the former design is aimed at addressing the ‘as-is process’ of the RPA project, the latter one attempts at capturing the ‘to-be process’.
Once the processes to be automated have been earmarked by the Business Analyst, the Solution Architect then carefully studies these processes, and determines how the automation can be carried out in order to meet the requirements of the company as evaluated by the Business Analyst. The Solution Architect has to constantly keep in mind the aims and objectives of the automation process that has already been agreed upon by the clients as well as the automation providers; while also presenting a tangible and plausible solution for automating the rule-based task in question.

The Process Design Document focuses on the overall automation process, from data gathering, process standardization and recommendations, to development, testing and deployment of the process robots. The solution architect constantly communicates with the Business Analysts and Project Managers in order to ensure that there is no disagreement between the persons involved in the process; and to bridge any discrepancies in the process.
It is after the development of the Process Design Document capturing the as-is process, that the Standard Operating Procedure or SOP may be devised in order to break down the complex processes and sequences of the plan and ensure easy programming. One also needs to design the process capture template, modeling standards and process maps, before the actual development procedures commence.

Now, we have successfully completed the as-is process, and received a thumbs-up for the same from the clients, as well as the various other persons involved in the project. We have also successfully completed the recommendations phase, wherein the specific RPA processes to be carried out are earmarked, and the unnecessary ones are eliminated, with detailed analyses of cost benefits and feasibility. Now, our RPA developers are almost all set to take the RPA project to the next level by actually creating our bots. But…are we missing out on something?
The role of the solution architect does not simply end at producing the Process Design Document. While the PDD helps in identifying the various stages and phases of the project, this document is not sufficient in itself for the RPA developers to take over their herculean task. The solution architect now has to create and document another design specially dedicated to the RPA developers; namely, the Technical Design Document or TDD. The Technical Design Document focuses specifically on the guidelines to be followed by the RPA developers while developing the bot; as well as the technical specifications to be employed in the software. This document enables our able RPA developers to follow the plan through with ease, and with a systematic framework to fall back on during times of confusion or doubt. Along with the TDD, a Target Operating Model is also designed in order to chalk out the vision or aim of the RPA development project.
In this way, the solution architect acts as the backbone of the RPA development process; carefully setting up the foundation of the RPA project so that the construction may become easier and hassle-free. The solution architects ensure that the plan does not simply remain a shallow idea, but is made viable, plausible and accessible to all the persons involved in the project.

With respect to Artificial Intelligence, the buzzword of the 21st Century, Dave Waters says:

“Artificial Intelligence is an infant at best. Once it becomes a teenager and believes it is smarter than its parents, will AI rebel?”
In today’s rapidly advancing world, the term ‘Artificial Intelligence’ is certainly not uncommon to hear or read, in magazines and blog posts (such as those posted by XLNC!); at business meetings and on television. In our everyday lives, a lot of us apply AI technology to our mundane organizational as well as other personal tasks, more often than not without even realizing its presence. However, a substantial population of individuals and groups are still extremely skeptical about this illusive technology, and the idea of machines functioning autonomously without human intervention. While AI enthusiasts often sound gung-ho about the fields of Machine Learning and Automation – claiming these to make life more efficient and dynamic – a lot of others still struggle with getting over the apprehension that AI might take complete control of human life, leaving us slaves to a Frankenstein’s monster.

I.Hey! AI ain’t all that bad, after all…
For those of you who are apprehensive and skeptical about embracing a technology as “frightening” and “overpowering” as Artificial Intelligence, we’re here to break the ice between AI and you. Here we are, with the positive side of Artificial Intelligence:

a.Artificial Intelligence does not recognize intellectual laziness
While human intelligence has managed to achieve leaps and bounds in various fields at different levels, it is always highly susceptible to spells of complacence and “intellectual laziness”. That’s where AI steps in. Siri, Alexa and Cortana do not tire of assisting you regardless of the time of day or night (for more dope on this, check out our previous blog on chatbots –; and your personalized AI tutors will never tire of teaching you or helping you with teaching others. This is one of the reasons for Artificial Intelligence being promoted over manual task completion.

b.To err is human, so humans created Artificial Intelligence.
Einstein famously said, “A person who never made a mistake never tried anything new.” As living beings, mistakes and blunders have always been a simultaneous process alongside the successes and accomplishments. However, Artificial Intelligence is definitely not a blunder (okay, hang on…we’re coming to the cons!). When programmed accurately, an AI technology is less likely to commit errors; and is usually flexible across different platforms.

c.‘Cause humans are so quick, they find themselves too slow…
Today, the world is now resorting to quickness and instantaneousness in whatever it does – so much so, that the natural speed of humans is sometimes too slow for this world. And so, AI bridges the gap between the fast progressing world and the people residing in it, by providing faster and more efficient ways and means of reaching the desired ends. AI is being widely used in almost all sectors today, including healthcare, education, transportation and communication, and defense and military, in order to ensure speed and accuracy with minimal compromise on either.

d.Your AI is sensitive, but not emotional.
While chatbots and GPS may be courteous and sensitive to your needs, they certainly do not possess deeper emotions and mood-swings; and you can rest assured that they will not complain of overwork and fatigue. And such a detached concern for the customers ensures that they can be reliable, diligent and caring, even when the work is strenuous and hectic.

II. AI ain’t all that good either…
But, are we headed towards utopia? Is AI really so perfect that one can totally overlook even remote possibilities of failures or disadvantages? Most definitely not! Just like everything else on this earth, AI, too, has two sides; and a lot of people are skeptical about applying this technology for this reason. Come, let’s evaluate the various drawbacks of AI, and brainstorm on each:

a.Yes, my processes will be more efficient, but at what ‘cost’?
Once installed and applied to our day-to-day lives, Artificial Intelligence can certainly be quite viable and cost effective. However, in the first place, it is important to install it to our already existing systems, and ensure that it functions optimally and independently. And these processes are not exactly economical. Designing the specific tool of AI and then training the machine to operate without human intervention can be an expensive task, and one needs to be prepared to incur the expenditure in order to enjoy the results later.

b.Your AI is emotionally intelligent, but sometimes, not intelligently emotional
Yes, AI may have been designed to understand human emotions and analyze sentiments. AI may also be able to carry out complex tasks that humans may never be able to undertake. However, there is a certain depth in perception and perspective that no machine has ever been able to touch, at least till now. And due to this incapability, AI ventures can sometimes turn into not-so-pleasant adventures. For example, in 2016, Microsoft’s Twitter chatbot created havoc when it began abusing, and passing pro-Nazi comments such as “Hitler was right.” While this experimental chatbot, Tay, was only imitating some humans who had been playing mischief, the situation was certainly alarming. Had the AI device been entirely controlled and mediated by a human, the situation may have probably been handled better.
AI technology may be perceived as an innocent child whose mind, though extremely active, is a clean slate. It is the responsibility of humans to ensure it doesn’t waiver from the right path.

c.“Creativity is intelligence having fun.” Einstein meant this only for human intelligence.
Artificial Intelligence apparently cannot have fun beyond a certain extent – it is limited to the innovative strategies and programming already stored inside them by humans. And so, intrinsic creativity does not figure anywhere here. That’s a faculty exclusive to humans – and processes sans human intervention can, well, only do so much to help matters.

d.While taking the help of machines, are we becoming machines ourselves?
This is one of the greatest concerns that the modern, artificially intelligent world is having to face in the recent times. There is always a threat that Artificial Intelligence can replace human intelligence in a big way; however, a lot of us don’t realize that as creators of Artificial Intelligence, it is we who have the upper-hand over our creations. As users, one must realize that machines and technology are not meant for encouraging intellectual laziness and procrastination; but rather, for facilitating increased efficiency and application of one’s intellect. And any device, when misused, can be detrimental to society and individuals. AI is no different.

Life can certainly be chaotic and confusing sometimes. And don’t we all look for that go-to person to consult during times of confusion? But how many queries can even the most learned and well-informed person answer at once? Yes, let’s face it – humans do have their own limitations, and it’s alright. What if my already automated process has to go through a change?

If a seedling remained under the soil in its most basic form, flora and fauna would never see the light of day. And last but not the least, had the caveman become complacent in the uncertain safety of the cave, we at XLNC wouldn’t be writing this blog, and you’d not be reading about Robotic Process Automation – a process that is rapidly changing the working of organizations.
We’re back with a blog; and today, let’s discuss what’s rightly touted as the most constant factor in the face of the earth – ‘change’. And in automation terms, change takes the form of a process known as “change management”. While RPA can change an employee and organization’s lives in very relieving and efficient ways, it can also prove to be a very unwelcome change to some employees and organizations, in that it pushes the workforce and its members out of the comfort zone of manually performing repetitive tasks. Coupled with this dilemma, there can also be certain sudden changes in the already planned end-to-end automation process, which can further lead to chaos and confusion, and a general animosity towards automation. But change management, when performed optimally, can change the entire scenario for the better:

1.What is change management?
Imagine you’ve spent all your valuable time identifying a certain business process that can be automated, and holding meetings with SMEs and automation software providers regarding the end-to-end automation process. Then, after the recommendations and other formalities, the RPA developers get to work, committing themselves to giving life to your bot. Then, suddenly, an organizational policy changes, and you realize with utter disbelief that the bot being developed for you no longer has a utility value in its original form. So now, are your time, energy and efforts all in vain? “Not at all,” replies change management. Change management helps you effectively modify the automation process, by performing the necessary alterations to the existing process, and adding or eliminating processes as and when required.

2.But…tell me more. Will it cause a hole in my pocket?
Rest assured. If an automation software platform offers change management, it should also ensure that the process is carried out efficiently, and in as cost effective a manner as possible. The automation software providers are typically prepared for any alterations or modifications that may take place at any point of time in the course of the process.
A typical change management process begins with the client disclosing the need for a change in the already planned end-to-end process. Thereafter, the client and the automation software provider sign an agreement with regard to the changes agreed upon between the two parties with regard to the ongoing project. Here, the client also specifies the priority and complexity levels of the change to be carried out; along with a Timelines matrix indicating the approximate duration of the project after incorporating the required changes. The client also notifies the provider about the changes via the Change Management module. The changes are then deployed in the bot, along with the Exception Management information; i.e., what the bot must do if the process cannot be performed, for some reason, in the usual manner.
Once the lengthy process of developing the bots based on the changes agreed upon is completed, a customer satisfaction survey is conducted, where the customer gives an account of whether the change management has been performed in a satisfactory manner, and if it is being implemented purposefully in the workplace. Then, the solution architect validates the Exception Management process, and the resolution percentage rate is evaluated. Finally, customer satisfaction is gauged once again, and a report is drafted based on the same. Lastly, the change management module is drafted and updated, and the process is concluded successfully.
Change is a very integral part of any process; and regardless of the amount of planning that goes into developing a process, it is always important to be mentally prepared for any sudden need for a modification or even elimination of the project. And change management is the panacea to your RPA change requirements.

Welcome to the magical world of AI! In this hastily transforming world of constant hustle-bustle, imperfection and time-lapse is frowned upon, and constant movement encouraged. While perfection is a utopian concept for humans, and cannot be expected of mere mortals, this and more is certainly being achieved by our very own Frankenstein’s monsters – Artificial Intelligence. Over the past few years, AI has taken unbelievable precedence over various walks of our lives; from education and industries to household and hospitality. While OK Google, Siri and Alexa compete to provide you best-quality services (and some ROFL moments too!), hotel industries are now making use of robots to take orders and deliver food.
But does the advent of AI threaten human intellect and agility in any way? Is the world becoming dangerously dependent on an external force? And have we worked so hard to build these artificial devices just so that we stop working?

1. “To err is human…” – in the truest sense
And that’s because AI cannot err. Of course, unless the human creating it may have committed an error. Artificial Intelligence is capable of performing even the most complex of tasks and algorithms with perfect ease and efficiency. Your AI does not recognize Monday Blues or Sunday offs. Or snoozing off at the traffic signal while driving.

2. “To be or not to be…” Ask AI!
Not only that, AI is also being used to predict future instances using the information available in the present. This feature of AI is being widely used in different domains; including data analytics, lead ranking and face recognition. These predictions often allow humans to take important decisions that can ensure a better future for the industry. Such predictions, if left to humans, may require them to invest a high amount of time and effort. But sometimes, it is also important to take those “emotional decisions” and make abstract considerations, which is clearly not AI’s forte.

3. Sorry. The creative juices don’t flow here.
OK Google might probably recite you a poignant poetry or two every once in a while, but that’s about it. It’s “inhuman” to expect human emotions and feelings out of AI. And that’s the reason one cannot instruct AI to come up with creative marketing strategies or out-of-the-box ideas.

4. All outcomes are created equal.
AI provides exactly the same treatment to every outcome of an activity, regardless of the number of times it has been instructed to carry it out. With humans, consistency (or the lack of it) can prove to be a major challenge, since not only two humans performing the same task, but even the same human carrying it out at different times, can produce remarkably different results.

5. Slow down, dear human….
The human-mind is an ocean, consisting of a huge reservoir of thoughts, emotions, feelings, sentiments…and all sorts of quirkiness, too. We are forever on our toes, trying to take leaps from one point to the other; and in the process, getting done a hoard of tasks all at once. But that’s not how AI works. Your AI tool cannot handle all your multitasking. The con – you have to be patient with it. The pro – the quality of work is never compromised for quantity.

6. Old is gold for AI
While you may be adventurous, outgoing and open to new experiences, AI is not easily adaptable to new changes, and takes quite some time to get accustomed to them.

7. Man is a social animal, but AI is not.
Humans have been surviving and thriving in a highly interactive, collaborative and communicative civilization. Unfortunately, AI is very new to this world, as still finds it a struggle to adapt to new and challenging social scenarios. For AI, the programmed information serves as the ultimate truth, and thinking beyond these boundaries of human programming is not its cup of tea.

At the end of the day, more than comparing human-intelligence with AI, it is important to realize that while AI consists simply of high IQ, human intelligence is a smart blend of IQ as well as EQ. So your AI can do wonders when it comes to rule-based tasks that do not require abstract thinking, but cannot handle tears and heartbeats. Hey, that’s probably why AI is also being used to do some risky tasks that humans cannot perform due to emotional and mental vulnerability. Food for thought!

Six Myths Surrounding RPA

“Myths are a waste of time; they prevent progression,” says Barbara Streisand.
It is certainly no myth that Robotic Process Automation is the next big buzzword that’s doing the rounds in industrial, organizational and software circles. Dealing ostensibly with the designing and application of software robots and artificial intelligence workers, RPA is speculated to do away with the requirement of human resources for the completion of repetitive, monotonous tasks. Then will it affect the availability of jobs, leading to unemployment? Will RPA be too expensive for human race to handle? And is it really a long-term thing, or just another transient fad? Hang on with those questions, as we are back with a blog, to bust some of the biggest myths of RPA:

1) Is my job at risk?
If humans were meant to only engage in uninteresting, repetitive and monotonous tasks that do not challenge one’s intellectual faculties in any way, then RPA might probably pose a risk to your job. But again, were that the case, RPA would never have been designed at all.
Yes, robots might probably lead to dearth of stagnant jobs in the corporate and other sectors. But let’s face it, humans are much more than just a pair of hands doing unstimulating jobs. With RPA, your mundane, boring tasks will be taken care of on a daily basis, while you invest your mind and heart in more challenging sectors, such as production, communications, creativity etc. Lastly, let’s not forget that even robots are made by humans; and as a result, they will continue to require human intervention in order to be manufactured, and assigned to various day-to-day tasks.

2) Will RPA cause a hole in our pockets?
Let’s consider, for a moment, some examples of projects at various stages of inception and development – building industrial complexes, setting up start-up companies, building and establishing brands…all important projects cost significant amounts of money. But this obviously does not (and should not) deter humans from developing these ideas. The same is the case with RPA. Having said that, while RPA’s initial inception costs may be somewhat high, it can be extremely cost-effective once it is applied to day-to-day situations. If we were to compare RPA with other traditional practices like business process outsourcing or offshore manual processing, RPA would win hands down in terms of maximum cost reduction.

3) So if the application of RPA is not an expensive process, are we adopting this technology only to reduce costs?
A myth quite converse to myth number 2 opines that RPA is used only to ensure cost reduction. To resolve this myth, let’s consider the difference between robots and humans. No two humans can be exactly the same (not even identical twins!); and thus, not only two humans performing the same task, but also the same human performing the task at different times, tend to produce different outcomes. In contrast, robots are an asset to organizations in that they are consistent in producing the same outcomes every single time. So yes, quality and speed with regard to the task at hand are also other major advantages of RPA, besides cost reduction.

4) Wow! So robots are nothing less than utopian, are they?
Okay, wait. Ever been exasperated by ‘404, Error not found’? Which means software can commit errors, too. Robots are no different. Yes, if programmed to perfection, robots can be perfect. And this reiterates the fact that robots are what they are designed to be. So if a human commits errors while developing these robots, they are bound to have imperfections.

5) But…really, RPA in all domains?
Well, the answer is…yes. No matter how creative or abstract a job may be, every job, at some stage or the other, consists of some amount of concrete, monotonous tasks. And as long as there are repetitive tasks, there will, and should, be robots.

6) So RPA, my friends, is the be-all end-all of everything! Err…is it?
This myth, if not busted, shall remain as the biggest and falsest myth of all. While RPA can do your day-to-day boring tasks, its purpose is NOT to replace human labour, but only to make it more efficient. Your robots do certain not-so-challenging tasks for you, so that you can invest your time and efforts into doing other greater things. Like…may be; design another robot?
